Essential Duties and Responsibilities:

Summary: The Accounts Payable Clerk is responsible for maintaining financial records and assisting with the general operations of the Purchasing and Procurement department. The Accounts Payable Clerk will handle a broad spectrum of accounting duties that are vital to the organization.

Duties and Responsibilities include the following. Other duties may be assigned.

Operational Duties

· Match purchase orders to vendor invoices and enter invoices into the computer

· Charge expenses to accounts and cost centers by analyzing invoice/expense reports and recording entries

· Reconcile processed work by verifying entries and comparing system reports to balances

· Pay vendors, verify account numbers and federal ID numbers, schedule and prepare checks, issue stop-payments or purchase order amendments

· Produce weekly/monthly/annual reports

· Correspond with vendors and respond to inquiries

· Provide supporting documentation for audits

· Maintain accurate historical records

· Maintain confidentiality of organizational information

Basic Qualifications:

Education and/or Work Experience Requirements:


· High school diploma or equivalent

· Associate’s degree or equivalent from a two year college or technical school (preferred)

· A degree in the following subjects would be beneficial: Accounting, Finance, Economics, or Business Studies

Work Experience Required

· Minimum 1-3 years of accounts payable experience

· Experience using Mineral Tree for A/P, as well as Excel

Additional Qualifications:

Required Knowledge

· Knowledge of computer and office equipment and programs (inventory systems; Word; Excel; office equipment

such as copiers/telephone systems)

· Ability to follow specific directions and instructions

· Knowledge of general accounting principles, regulatory standards and compliance requirements
